These Terms & Conditions apply to all clients, participants and representatives who purchase, participate in, or engage with services provided by Expedition You.
By booking or participating in a service with Expedition You, you acknowledge that you have read, understood and agreed to these Terms & Conditions.
2. Services Provided
Expedition You provides outdoor coaching and education services focused on developing confidence, capability and independence.
Services may include:
Bushwalking and nature-based activities;
Cycling experiences and skills development;
Kayaking and water-based outdoor activities;
Camping skills and outdoor preparation;
Individual coaching sessions;
Small group experiences;
NDIS supports where applicable;
Passport to Outdoor Independence programs; and
Expedition experiences following appropriate preparation and assessment.
Expedition You’s approach focuses on developing practical skills, confidence and independence through supported outdoor experiences.
Services are tailored to each participant’s goals, abilities, experience and support needs.
3. Session Structure and Group Size
To maintain a personalised and supportive experience, Expedition You generally limits sessions to a maximum of two (2) participants per session.
Where available, participants may choose a private upgrade for a one-to-one experience. Private upgrades are subject to availability and additional fees as advised at the time of booking.
Unless a private upgrade has been purchased, Expedition You may combine compatible participants where appropriate.
4. Session Duration
Expedition You session formats include:
Half-day session: Up to 4 hours
Full-day session: Approximately 6–8 hours
Session duration includes the overall coaching experience and may include agreed travel time where transport is provided by Expedition You.
Breaks, rest periods and activity adjustments may occur depending on the participant, activity, environmental conditions and safety considerations.
5. Passport to Outdoor Independence and Progression to Expeditions
Expedition You may provide expedition-style experiences following completion of the Passport to Outdoor Independence program or other relevant preparation.
These experiences are designed to allow participants to apply and build upon skills developed through coaching.
Participation in an expedition is not automatic and is subject to an assessment of suitability, including:
demonstrated skills and confidence;
readiness for the planned environment and activity;
ability to participate safely;
equipment preparedness;
individual support needs; and
relevant health, accessibility or safety considerations.
Expedition You may recommend further coaching, preparation or alternative experiences where this supports participant safety and success.
Expeditions and overnight experiences are separate products and have their own pricing, requirements and booking conditions.
6. Overnight Camping Experiences
Expedition You may offer overnight camping experiences as separate products.
Overnight experiences may involve additional costs, including:
camping or site fees;
equipment requirements;
food and meal arrangements;
transportation or travel costs;
specialised preparation requirements; and
other costs associated with the specific experience.
Any additional costs and requirements will be communicated before booking confirmation.
Participants may be required to complete preparation activities, equipment checks or skills development before participating in overnight experiences.
7. Booking Confirmation
A booking is confirmed when:
required participant information has been provided;
necessary forms or agreements have been completed;
payment arrangements have been accepted; and
Expedition You has confirmed the booking.
Due to limited session availability, bookings are reserved specifically for each participant.
Expedition You reserves the right to decline or cancel a booking where participation is not reasonably suitable or where safety requirements cannot be met.
8. Payments
Payment requirements will be communicated at the time of booking.
Participants are responsible for ensuring:
payments are made according to agreed arrangements;
required information is provided;
funding arrangements are in place where applicable; and
any additional agreed costs are understood before services commence.
For NDIS participants, payment arrangements will be managed according to the participant’s Service Agreement and applicable NDIS requirements.

Part 2: NDIS, Transport, Travel, Cancellations and Weather
9. NDIS Participants
Expedition You is an unregistered NDIS provider.
Expedition You provides services to:
self-managed NDIS participants; and
plan-managed NDIS participants.
Expedition You does not provide services to NDIA-managed participants.
Participants are responsible for ensuring:
they have appropriate funding available;
requested supports align with their NDIS plan goals and funding arrangements;
payment arrangements are in place before services commence; and
their plan manager (where applicable) is aware of agreed services.
Where required, services will be provided under an agreed Service Agreement between Expedition You and the participant or their authorised representative.
NDIS services, payments and cancellations will be managed in accordance with:
the participant’s Service Agreement;
applicable NDIS Pricing Arrangements and Price Limits; and
relevant NDIS requirements applying to self-managed and plan-managed participants.
Where permitted, short-notice cancellations may be charged in accordance with the participant’s Service Agreement and applicable NDIS requirements.
10. NDIS Provider Status
As an unregistered NDIS provider, Expedition You does not claim directly through the NDIA.
Self-managed participants and plan-managed participants are responsible for managing payment and claiming arrangements according to their individual funding arrangements.
Participants should discuss service suitability, funding availability and payment arrangements with their plan manager, support coordinator or relevant representative where required.
11. Travel and Transportation
Expedition You generally meets participants at a designated agreed location.
Where transportation support is required and agreed prior to the session, Expedition You may provide transport to and from agreed locations.
Transportation provided by Expedition You forms part of the booked coaching session time.
Transport arrangements will be discussed and agreed before the session, including:
pick-up location;
drop-off location;
timing;
any relevant participant requirements; and
any applicable costs.
Where additional travel outside the standard service area is required, travel fees may apply.
Any applicable travel charges, including per-kilometre fees, will be communicated and agreed before the service commences.
For NDIS participants, any transport-related charges or claims will only be applied where permitted under:
applicable NDIS requirements;
the participant’s funding arrangements; and
the agreed Service Agreement.
12. Participant Transport Safety
Where Expedition You provides transport, participants agree to:
follow reasonable vehicle safety requirements;
wear seatbelts where provided;
communicate any health, mobility, behavioural or accessibility needs relevant to safe transport; and
follow reasonable instructions provided by Expedition You.
Expedition You may modify or decline transport arrangements where safe transport cannot reasonably be provided.
13. Private Client Cancellation and Refund Policy
Expedition You understands that circumstances can change. However, outdoor coaching involves preparation, scheduling and limited availability.
The following cancellation policy applies to private clients.
Cancellations 7 Days or More Before the Session
Where cancellation is received 7 days or more before the scheduled session, participants may choose:
rescheduling to another available date;
a voucher or credit towards a future Expedition You service; or
a full refund.
Cancellations Less Than 7 Days Before the Session
Where cancellation is received less than 7 days before the scheduled session, participants may choose:
rescheduling to another available date;
a voucher or credit towards a future Expedition You service; or
a 50% refund.
Same-Day Cancellations and No-Shows
For cancellations made on the day of the session, or where a participant does not attend:
rescheduling or a voucher/credit may be offered at the discretion of Expedition You; or
no refund may be provided.
14. Membership Fees
Any membership fee purchased before commencing coaching sessions is non-refundable.
Membership fees are separate from individual coaching session fees and provide access to the benefits and inclusions outlined at the time of purchase.
15. Weather and Environmental Conditions
Expedition You operates in outdoor environments where conditions can change quickly.
Expedition You may modify, postpone, relocate or cancel a session where conditions are unsafe or unsuitable, including but not limited to:
extreme heat;
storms or severe weather;
bushfire risk;
flooding;
unsafe water conditions;
hazardous terrain;
unsafe tracks or locations; or
other circumstances outside reasonable control.
Participant safety and wellbeing will always be the priority.
Where possible, Expedition You will work with participants to provide an alternative arrangement, which may include:
rescheduling;
a voucher or credit;
an alternative activity; or
another suitable arrangement.
Participants are responsible for attending prepared for the conditions communicated by Expedition You, including suitable clothing, footwear, food, water and personal equipment.

16. Participant Responsibilities
To support a safe, positive and successful experience, participants agree to:
provide accurate and current information during booking;
advise Expedition You of relevant health, medical, disability, accessibility or support requirements;
communicate any concerns or limitations that may affect participation;
follow reasonable instructions and safety guidance provided by Expedition You;
participate within their own abilities;
advise when additional support or adjustments may be required;
treat other participants, staff, community members and the natural environment with respect;
arrive prepared with appropriate clothing, footwear, food, water and equipment; and
take reasonable responsibility for their own safety and wellbeing.
Participants acknowledge that outdoor activities require active participation, communication and engagement in the learning process.
Expedition You may adjust activities, modify support arrangements, recommend further preparation or decline participation where reasonably necessary to maintain safety.
17. Health, Safety and Risk
Expedition You provides outdoor coaching and supported experiences in environments that may involve inherent risks.
Activities may include:
bushwalking;
cycling;
kayaking;
camping;
outdoor skills activities; and
expedition experiences.
Risks may include, but are not limited to:
uneven or unstable terrain;
slips, trips and falls;
physical exertion;
changing weather conditions;
water environments;
equipment use;
natural hazards;
wildlife encounters; and
remote or variable outdoor locations.
Participants acknowledge these risks and agree to participate responsibly.
Participants may be required to complete relevant forms, including health information, participant information forms and risk acknowledgement documentation.
The Expedition You Participant Waiver and Assumption of Risk document forms part of the participation requirements.
18. Equipment and Preparation Requirements
Participants are responsible for arriving prepared for their chosen activity and following preparation guidance provided by Expedition You.
Depending on the activity, participants may need to provide suitable:
clothing and footwear;
food and water;
personal medication or health-related items;
cycling equipment;
kayaking equipment; and
camping equipment where required.
Expedition You will provide information regarding equipment requirements before participation.
Participants are responsible for ensuring personal equipment is suitable and safe.
Where Expedition You provides equipment, participants agree to:
use equipment appropriately;
follow instructions provided; and
take reasonable care of equipment.
Loss or damage caused by misuse may be the responsibility of the participant.
19. Photography and Media
Expedition You may capture photographs or videos during activities to document experiences, celebrate participant achievements and promote services.
Photography or media use will only occur where appropriate consent has been provided.
Participants may choose not to provide media consent, and this will not affect their ability to participate.
Participants may withdraw consent for future use of images or videos by contacting Expedition You.
20. Intellectual Property
All materials created or provided by Expedition You remain the intellectual property of Expedition You.
This includes, but is not limited to:
coaching resources;
worksheets;
guides;
checklists;
training materials;
digital resources; and
program content.
Materials are provided for personal use only and must not be copied, reproduced, modified, distributed, sold or used commercially without written permission from Expedition You.
21. Privacy
Expedition You respects participant privacy and manages personal information responsibly.
Information collected may include:
contact details;
emergency contact information;
health and accessibility information;
NDIS-related information where required;
goals and support requirements; and
information necessary to provide safe and appropriate services.
Personal information is managed in accordance with the Expedition You Privacy Policy.
22. Complaints and Feedback
Expedition You values feedback and aims to resolve concerns fairly and respectfully.
Participants are encouraged to raise any concerns as soon as possible so they can be reviewed and addressed.

23. Australian Consumer Law
Nothing in these Terms & Conditions excludes, restricts or modifies any rights or remedies available under Australian Consumer Law or other applicable legislation where those rights cannot legally be excluded.
Expedition You is committed to providing services with care, skill and professionalism.
24. Limitation of Liability
Participants acknowledge that outdoor activities involve inherent risks.
To the extent permitted by law, Expedition You is not responsible for loss, injury, damage or expenses arising from:
circumstances outside reasonable control;
risks inherent in outdoor activities; or
participant failure to follow reasonable safety instructions.
This limitation does not exclude liability where it cannot legally be excluded.
25. Changes to Services and Terms
Expedition You may update services, pricing, programs or these Terms & Conditions from time to time.
Where changes affect existing bookings, reasonable consideration will be given to previously agreed arrangements.
26. Governing Law
These Terms & Conditions are governed by the laws of South Australia, Australia.
Any disputes arising from these Terms & Conditions will be subject to the jurisdiction of the courts of South Australia.

Booking & Cancellation Policy
Expedition You

1. Booking Confirmation
Bookings with Expedition You are confirmed once:
required booking information has been provided;
any required forms or agreements have been completed;
payment arrangements have been accepted; and
Expedition You has confirmed the booking.
Due to the personalised nature of Expedition You services and limited availability, bookings are reserved specifically for each participant.
Participants are responsible for ensuring they understand the service details, requirements and applicable costs before confirming a booking.
2. Services
Expedition You provides personalised outdoor coaching, education and supported experiences.
Services may include:
bushwalking;
cycling;
kayaking;
camping activities;
outdoor skills development;
Passport to Outdoor Independence programs; and
expedition experiences following appropriate preparation and assessment.
Session formats, requirements and inclusions may vary depending on the service purchased.
3. Cancellations and Changes
Expedition You understands that circumstances can change.
Cancellation, rescheduling and refund arrangements may vary depending on:
the type of service booked;
timing of the cancellation;
preparation undertaken;
availability of alternative dates; and
costs already incurred.
Where possible, Expedition You will work with participants to find a suitable outcome, which may include:
rescheduling;
transferring a booking;
providing a credit or voucher; or
applying a refund where applicable.
Specific cancellation conditions may apply to individual products, programs, overnight experiences and expeditions.
4. Private Client Cancellation Terms
For private coaching sessions, the following cancellation arrangements apply:
7 Days or More Notice
Where cancellation is received 7 days or more before the scheduled session, participants may choose:
rescheduling;
a voucher or credit; or
a full refund.
Less Than 7 Days Notice
Where cancellation is received less than 7 days before the scheduled session, participants may choose:
rescheduling;
a voucher or credit; or
a 50% refund.
Same-Day Cancellation or Non-Attendance
For same-day cancellations or where a participant does not attend:
rescheduling or a voucher/credit may be offered at the discretion of Expedition You; or
no refund may be provided.
5. Membership Fees

Membership fees are separate from individual service bookings and relate to the benefits and inclusions provided at the time of purchase.
6. NDIS Participants
Expedition You is an unregistered NDIS provider supporting:
self-managed NDIS participants; and
plan-managed NDIS participants.
NDIS services are provided under agreed arrangements and relevant NDIS requirements.
Participants are responsible for ensuring appropriate funding and payment arrangements are in place.
7. Outdoor Conditions
Outdoor activities are affected by environmental conditions.
Expedition You may adjust, postpone, relocate or cancel activities where safety concerns arise, including due to:
extreme weather;
unsafe terrain;
bushfire risk;
unsafe water conditions; or
other environmental hazards.
Participant safety will always be prioritised.
